Enrolling a Contact in a Sequence
Start a planned series of personal follow-ups and tasks from a contact record.
Options and access can differ by HubSpot subscription and user permissions. Check with your CRM administrator if a control is unavailable.
Step 1
Open the correct contact
Confirm you are in the eQ Homes HubSpot portal. Go to More → CRM → Contacts, or directly to CRM → Contacts if More is not shown. Search for the person and open their record; check identity before proceeding.
Sequences require Sales Hub or Service Hub Professional or Enterprise, an assigned Sales or Service seat, Sequences and Communicate permissions, and a connected personal email inbox. A shared team inbox is not a substitute. Do not assume every eQ user has access; ask your CRM administrator to confirm your subscription, seat and permissions.
Step 2
Review the conversation and appointments
Read recent emails, SMS, meeting notes and other activities. Check upcoming appointments and any information about a purchase. Review related conversations where available, not just the last email.
Do not send wording that conflicts with a booked appointment, recent reply or purchase.
Step 3
Check email, preferences and current enrollment
Confirm the contact’s email address is correct and usable, and review communication preferences and any request to stop follow-up. Do not bypass an opt-out or bounce restriction.
Each contact can be enrolled in only one sequence at a time. Check the enrollment banner/activity before starting another. If a different approach is needed, review and stop the current enrollment appropriately first.
Step 4
Open sequence enrollment from the record
In the contact record’s left panel, click the Enroll in a sequence icon. If it is hidden, click the ellipsis More icon in that panel, then choose Enroll in a sequence.
Supported alternative: More → Sales → Sequences → Manage, open the sequence, choose Enroll contacts → Enroll contacts, select this one contact and click Next. Use the contact record first so you can review its history.

Step 5
Choose an appropriate existing sequence
In the selection dialog, hover over the suitable existing sequence and click Select. Ask your manager which existing sequence fits if you are unsure; this guide does not prescribe an eQ sequence name.
The sequence must be shared with the selected sender. Do not create a new sequence or change its shared design as part of following this guide.
Step 6
Review every email and task
Read the complete enrollment preview—not only the first message. Check each subject, message, link and task against the person’s actual situation.
Automated email steps send on the schedule without another manual Send click. Task steps create work for you, such as a call or personal email; they do not perform that work automatically. By default, the sequence pauses until a task is complete; a task’s Continue without completing task option can change that. Review what the existing task actually requires.
Review every step, not just the first email.
Step 7
Personalize all the content
Tailor each email using known interests and conversation details. Use the rich text controls to edit wording and links, and review task titles and instructions.
Missing placeholder tokens appear in red at the top. Click each token, enter an accurate value and click Update sequence; repeat for every missing value. Review all resolved property tokens too. Personalization values are captured at enrollment, so do not assume later contact-property edits will repair scheduled emails.

Step 8
Check your sender and connected inbox
Manual enrollment uses one of your own connected personal email accounts. If you have several, use the From dropdown at the bottom to select the correct one. Do not assume you can manually send as another teammate.
Confirm the inbox is connected and monitored, the sequence is accessible to you as sender, and all required values are supplied. A shared conversations inbox is not the personal inbox required for sequences.
Step 9
Review the starting step and full schedule
Use Start at to choose the appropriate first step and Time zone to confirm the zone for all steps. Review each email delay (Send email in) and task-creation delay.
The first email defaults to sending as soon as possible. To schedule it, choose Send now → Send later and select the date and time. Check that displayed first send time explicitly.
Settings in the upper right can override default follow-up sending settings for this enrollment; they apply after the first step, not to the first email. Review sending windows and the effect of task completion rather than assuming a later window postpones the first email.
Enrollment may schedule the first email to send immediately or later. Check before confirming.

Step 10
Confirm enrollment only when ready
Recheck recipient, every step, sender, timing, preferences and any required review. Click Start sequence in the bottom left only when everything is appropriate.
This can trigger the first email as soon as possible if you left Send now selected. If HubSpot reports an error or a daily sending limit, read the reason; do not assume enrollment succeeded or repeatedly enroll the contact.
Step 11
Verify the enrollment
Check the contact’s enrollment banner and activity. For a fuller view, open Sales → Sequences, select the sequence and open Enrollments; search for the contact and review Status, Latest step and Details.
Confirm the expected Scheduled or In progress state and first step/time. An enrollment entry does not guarantee email delivery. Use the active-sequence guide to keep future follow-up aligned with replies and appointments.
