Creating a Segment in HubSpot
A segment groups contacts who meet criteria you choose. Use segments to organize your audience and select the right people for marketing.
Options and access can differ by HubSpot subscription and user permissions. Check with your CRM administrator if a control is unavailable.
Step 1
Define your audience
Decide who should be included and excluded before adding filters.
Example, not an established eQ rule: contacts interested in a particular community, excluding purchasers and people who should not receive the communication. Confirm the real criteria with your manager or CRM administrator.
Step 2
Open Segments
In HubSpot, click More, then go to CRM → Segments. If More is not shown, go directly to CRM → Segments. Click Create segment → Manually and select Contacts as the object so you are grouping people, not companies or deals.
Click Next, then use the edit icon at the top left to enter a descriptive name. Creating segments requires Edit Segment permission; available controls may vary by your subscription.

Step 3
Choose active or static
Decide which type you need now; select Active or Static in the details step after clicking Next from the filter editor.
- Active: automatically updates as contacts meet or stop meeting the criteria. Recommended for an ongoing community audience whose membership should stay current.
- Static: a saved group that does not automatically update when criteria change. Useful for a fixed event audience or a snapshot at a particular point in time; membership can still be edited manually.
Choose the type based on whether you need a changing audience or a fixed group—not because one type grants consent.
Step 4
Add your filters
Click + Add filter, select Contacts and the Properties category, choose the relevant contact property, select an operator (how to compare it), then choose or enter the value. Use the property actually available in eQ’s portal. The examples below are audience concepts, not verified eQ property names.
AND means a contact must meet every condition. Example: interested in a community AND eligible for this communication. OR means a contact can meet any alternative. Example: interested in Community A OR Community B.
Example logic: (Interested in Community A OR Community B) AND not a purchaser AND meets the eligibility requirements for the intended communication.
Keep exclusions outside your OR alternatives so they apply to the entire audience. Use the and/or controls within and between filter groups deliberately. Where available, turn on Exclude contacts and select exclusion segments or records so those exclusions apply regardless of the inclusion alternatives. If you express exclusions as filters and whole groups are joined with OR, repeat them in every group unless you apply a shared AND condition to the entire audience.
The “is unknown” operator can include contacts with blank values. Whether those contacts belong depends on what the filter is meant to do. Do not include unknown values universally.
Keep exclusions outside your OR alternatives so they apply to the entire audience.

Step 5
Review the results
Check the contact count and inspect sample records. Confirm expected contacts are included and purchasers or other excluded groups are absent.
If the result looks wrong, check overly broad OR groups, exclusions, operators and missing values. Allow time for processing; a preview or initial count may not yet reflect final membership.
Step 6
Name and save
Suggested naming convention, not an established eQ rule: eQ | [Community or Audience] | [Purpose].
Review the criteria, click Next when shown, confirm Active or Static and use Save and process segment. Wait for HubSpot to finish processing, then check the saved segment’s membership.
