Sending, Replying to and Tracking Outlook Emails in HubSpot
Send personal emails from Outlook, keep replies on the right HubSpot records and review engagement without confusing logging with tracking.
Options and access can differ by HubSpot subscription and user permissions. Check with your CRM administrator if a control is unavailable.
Step 1
Confirm your Outlook and HubSpot setup
Use your individual eQ work mailbox, connected to HubSpot, and the HubSpot Sales Office 365 add-in. These steps apply to a Microsoft 365-hosted mailbox in Outlook for Windows, Mac or the web—not Outlook mobile. Outlook is an application; if your mailbox is hosted on on-premises Exchange, ask IT to confirm supported options instead of assuming Office 365 applies.
Sign in to the add-in with your HubSpot account and confirm the selected account is eQ Homes. An installed add-in is not proof that your inbox is connected or that the right portal is selected. A shared team inbox is not a substitute for your connected personal inbox.
If setup is incomplete, open Training → Get Set Up for the Outlook inbox and add-in lessons. Your seat, subscription, email permissions and Microsoft 365 administrator’s policies determine available options. The separate legacy Outlook desktop add-in is in maintenance mode and is not supported in new Outlook; use the Office 365 add-in for this guide.
Step 2
Open the HubSpot Sales pane in Outlook
Create a new email in Outlook. In new Outlook for Windows or Outlook on the web, choose Apps → HubSpot Sales. In new Outlook for Mac, use the three-dot menu → HubSpot Sales. In classic Outlook with the Office 365 add-in, use Sales Tools in the ribbon.
Keep the HubSpot task pane open while composing and sending. Add-in preferences apply while the pane is open; do not assume installation alone logs or tracks every email. Check that you are using your own eQ sender address.

Step 3
Choose the recipient and write a personal message
In HubSpot, review the correct contact’s recent emails, SMS, notes and appointments before sending. In Outlook, enter the intended recipient and check the full address—not just the display name. Review CC, BCC and Reply All recipients deliberately.
Write a clear subject and a short message with a relevant next step. If an available sales template helps, insert it and personalize the entire draft. Check the actual community details, dates, links and attachments. Inserting a template does not send the email or start a sequence.
Respect the person’s communication preferences and any request to stop. This is a one-to-one sales email, not a Marketing → Email campaign or an enrollment in a sequence.
Step 4
Choose Log and Track separately
With the HubSpot pane open, review the Log and Track options for this email before sending. Existing defaults and account-wide settings may affect what you can select; do not change shared settings as part of this procedure.
If Log is selected, review the records listed in the pane and choose the intended associations where available. Confirm the correct contact and any relevant company or deal. Do not attach a private or unrelated conversation to the wrong record. Record-selection controls depend on your Outlook version and access.
- Log saves the email’s content to selected HubSpot CRM records. It does not, by itself, provide open notifications.
- Track measures engagement such as opens. Tracking alone does not save the email’s content to the CRM. Link-click tracking requires an assigned Sales Hub seat.
- Select both only when you need both outcomes and tracking is appropriate. Consent, legal-basis requirements, never-log rules and account policies can restrict logging or tracking. Do not bypass them.
Logging records the conversation; tracking measures engagement. Check both separately for each message.

Step 5
Review, send and verify the logged email
Read the final message and check the sender, all recipients, subject, personalization, attachments and links. Recheck Log, Track and the selected CRM records with the HubSpot pane still open. Click Outlook’s Send only when ready.
In HubSpot, go to More → CRM → Contacts, or CRM → Contacts if More is not shown. Open the same contact and review the activity timeline. If needed, filter activities to Emails, then expand the sent email to check its content and associations.
If you selected Log, confirm the email appears on the intended record. Outlook’s Sent Items confirms a sent message, not that it logged in HubSpot or was read by the recipient. If it is missing, troubleshoot before sending again; do not duplicate an email just to make it appear in the CRM.

Step 6
Read and reply to an email in Outlook
Open the incoming message in Outlook and read the full thread. Check the sender’s address and the contact’s recent HubSpot history so your response fits the conversation. Choose Reply for the sender, or Reply All only when everyone genuinely needs the response.
Open HubSpot Sales in the reply composer and keep the pane open. Confirm the eQ Homes account, review the available Log and Track options and check intended CRM associations again. Do not assume the original email’s settings carry over to your reply.
Write your response, remove irrelevant quoted content where appropriate and review all recipients and attachments. Send when ready, then verify the outgoing reply on the contact’s HubSpot timeline if logging was selected. Record a next-step task or note when the conversation requires further action.

Step 7
Understand when incoming replies appear in HubSpot
Incoming reply logging depends on the connected inbox and the portal’s existing logging settings. It is not guaranteed merely because a message arrived in Outlook or was tracked.
For an account using Log replies only, HubSpot requires the original email to have been sent through HubSpot or the connected inbox with logging enabled, the inbox to remain connected when the reply arrives, and the reply to meet its thread and subject requirements. Never-log exclusions can also prevent logging. Other logging settings can behave differently; ask your CRM administrator to confirm the existing setup.
Check the actual contact timeline for the incoming reply. If it is absent, read and handle the Outlook message anyway, then investigate the connection, original logging choice and exclusions. Do not change account-wide logging rules or assume every incoming message belongs in the CRM.
Step 8
Review email tracking in HubSpot
For a tracked message, review available open or click events in HubSpot’s activity feed and, where shown, the email activity on the contact record. Open the relevant activity to inspect the event and time. If the email was only tracked and not logged, its content may be absent from the contact timeline.
An open event indicates that tracking detected activity—not proof the person read the message or intends to buy. Image blocking, privacy protections, forwarding and automated systems can affect results. No open event does not prove an email was unread or undelivered.
Use tracking as supporting context, not as a reason to send repeated follow-ups. Respect tracking consent and applicable privacy requirements. If tracking is restricted or inappropriate, leave it off and rely on the real conversation and agreed next action.

Daily habit
Review Outlook replies and the matching HubSpot records before starting new follow-up. Keep next steps aligned with what the contact actually said.
Troubleshooting
Final checklist
- Individual Outlook inbox connected and eQ Homes selected
- HubSpot Sales pane open through sending
- Correct recipients and recent conversation reviewed
- Message, attachments and links checked
- Log/Track choices and privacy requirements reviewed
- Intended CRM associations confirmed
- Sent email or reply verified on the correct timeline
- Next action based on the real conversation, not an open event
